Appointments

Nothing goes on the board until you put it there.

Clients book from your own link. What they send lands in Booking Requests, and a person turns it into an appointment. The calendar never fills itself behind your back.

Pick a person in Staff Calendar, or switch on Remote Only.

The calendar draws what you booked.

It does not decide what you are allowed to book. A job is as long as the service says it is, so a two hour tint and a three day wrap are not the same block.

The day view is one time column.

Overlapping jobs sit side by side, packed by the hours they cover rather than by who is on them. Filter to one person with Staff Calendar, or to remote jobs with Remote Only.

Every branch keeps its own timezone.

A wrap that runs past midnight is drawn across every day it covers, and day boundaries re-anchor to local midnight on every create, edit, reschedule and convert.

Length is not one number.

A service carries one, a variation under it carries its own, and a coverage under that carries its own again, each with its own price.

You set those numbers once.

Every appointment afterwards draws itself at the right size. A sedan tint is not a full wrap, and full front paint protection film is not full body.

The technician is picked per service line.

A three service job can carry a different person on each line, each with its own start, pause, resume and stop timer.

On every appointment

Fifteen labels a shop actually uses, and four that earn their keep.

Pending, In Progress, Completed, Job Done, Cancelled, No Show, Confirmed, Arrived, Waiting, Curing, Ride Needed, Urgent, Rescheduled, Reopen, Customer Declined. You set one when you book. Anyone who opens the board reads it without asking.

UrgentThe client is not going away happy unless this moves

A comeback, a job that slipped, or a vehicle the owner needs today. The label says so on the row, so nobody has to be told twice.

Everyone reads it without asking
WaitingSomebody is sitting in your front room right now

A tint on a lunch break. The counter can see there is a person on the sofa before it starts stacking work behind it.

The counter stops guessing
CuringThe work is done and the vehicle is not ready

Ceramic needs its hours. The label is there so nobody hands the keys back early or tells the owner to come at four.

Nobody returns it early
Ride NeededThe owner has no way home from here

Somebody has to drive them. Put it on the appointment when you book and the person opening the board in the morning already knows.

Booking requests

A request first, a job second

Your public link takes a service and a time from the client and sends it in. It arrives in Booking Requests, where a person reads it and converts it. Nothing reaches the board on its own.

  • The booking page needs no account and is rate limited
  • Every submission lands in Booking Requests, never straight on the calendar
  • Staff convert it, and a blacked-out date is refused at that moment
  • The vehicle is captured at the request, so the job starts complete

It sits here until a person presses one of the two.

A client can ask for any time on the day.

Your opening hours are marked on the list, and a time outside them is dimmed and carries a warning. It is not blocked, and the request still lands in Booking Requests.

Nothing a client submits goes straight onto the board.

Every submission waits for a person. Appointments carry a check of their own: the same client, day, time and set of services is refused, so one job is not booked twice.

Blackout dates are the hard line.

Create an appointment, reschedule one, or convert a request onto a day you have closed, and the app refuses it every time.

Branches

One shop or ten, one calendar

Opening hours and blackout dates are set once for the whole organisation. Each branch carries its own timezone, and every date the app writes is anchored to that branch’s local midnight.

  • Opening hours and blackout dates set once, shared by every branch
  • Blackout dates take a repeat rule, so the public holiday closes every year
  • Timezone per branch, applied on create, edit, reschedule and convert
  • Work in one branch or look across all of them

Opening hours and closed days are set once and every branch reads the same list. Each branch keeps its own clock.

Reminders and the client link

The follow-up happens without you

Pick the reminder points once. The shop sends each one at most once, however many times the job is touched, and, when you ask clients to confirm, the email carries a signed link that needs no account.

  • Eleven points to choose from, seven days out down to one hour before
  • Duplicate sends are blocked, so nobody gets the same reminder twice
  • Email delivery, with SMS available
  • No Show and Cancelled are statuses on the appointment
  • The confirm link is signed, expires, and needs no account or install
  • A decline can carry a reason, stored as Customer Declined

What the client sees

Three taps, and the request is in.

Your booking page shows the services you sell and the hours you are open. It asks for a time; it does not promise one.

Your booking page

Nothing to explain on the phone

The page carries your services, your variations and the length each one takes. A client picks what they want and asks for a time.

  • Only the services you sell, with your own lengths and prices
  • Every quarter hour of the day is listed, with your opening hours marked on it
  • Vehicle captured at the request, so the job starts complete
  • Runs per branch, on your own link, with no account for the client

How it works

From a tap to a job on the board.

01The client asks

They pick a service and a time on your page, or you take it over the counter. You can also ask in plain words and the assistant books it down the same guarded path.

02It waits in Booking Requests

A screen of its own. Somebody reads the request, the vehicle and the time before anything is agreed.

03You convert it

It becomes an appointment, drawn at the length of the coverage. A day you have blacked out is refused before it lands.

04Reminders run

They go out at the points you set once. With confirmation on, the client also gets a link to confirm or decline.

Rules

Set it once, it holds every day.

Four things, and only four

Availability reads your opening hours, your blackout dates, the repeat rule on those dates, and the branch timezone. Blackout dates are enforced: create, reschedule or convert onto a closed day and the app refuses it. Opening hours are read once, on your public booking page, and only as a warning.

  • Opening hours, set once for the organisation and marked on your booking page
  • Blackout dates, with a repeat rule for the ones that come round yearly
  • Timezone per branch, so a 9:00 means 9:00 where the branch is
  • Reminder points, chosen from eleven and sent once each

Moving in

Bring the diary you already have.

Your appointments

Appointment import, straight from an export of your current system. Clients, vehicles and the times already on the diary.

Your clients

The same import for the records behind them. Nothing is retyped and nothing is guessed from a spreadsheet.

The review step

You see what came out of the file before a single record is written. Wrong rows are yours to fix first, and nothing imports until you agree with the mapping.

Your branches

The sites in the file are mapped onto your branches by hand, one at a time, so the timezone on every imported date is right.

FAQ

Booking questions, answered.

Yes, and we would rather say so. The booking page lists every quarter hour of the day and marks the hours you are open. It does not read your appointment list. That is why every submission is a Booking Request and not a confirmed job: a person looks at what came in. When it becomes an appointment, the same client, day, time and set of services is refused a second time.
