Getting started
Bring your data in, add services, connect payments and invite your team.
“Import Clients” opens a wizard that reads CSV or XLSX exports from your current system. You check the rows before you commit them, and the same wizard also imports leads, invoices and appointments.
Read the full guide →Each service variation has its own “Duration” and can apply to chosen vehicle sub-types. Coverages under a variation carry their own price and duration, and a service can “Require Deposit”.
ShopHawk works with Stripe, Square, Clover, YOCO and CPOS as payment gateways. Connect the one your shop already uses.
Use “Invite Employee” or “Invite To Organization” to bring a person in. What each person can see and do is set in “Roles & Permissions”.
Work orders
Tasks, technicians, timers and quality checks on every job.
Each service on a work order is its own task, and you assign technicians per task. Every assigned technician signs when the task is completed.
Each task has a timer you can start, pause, resume and complete. The actual minutes are logged on that task.
QC can pass or fail each task. A failed task goes back for rework on the same task.
Set “At-risk SLA thresholds” for each service category. Each category can have its own threshold.
Scheduling
Operating hours, unavailable dates, moving a booking and booking links.
Each branch has its own “Operating hours”. Two locations can keep different hours.
Add “Unavailable Dates” and set “Repeat” to Daily, Weekly, Monthly or Yearly. ShopHawk blocks booking and rescheduling on those dates.
Use “Reschedule Appointment” to move a booking. The linked work order’s expected delivery time moves with it, and invoices and payments stay as they are.
Build a booking form in the page builder and use “Share Link”: “Anyone with this link can view and submit this form.” Each submission comes in as a Booking Request.
Invoicing and payments
Proposals, coupons, gift cards, reminders and refunds.
A proposal can offer more than one service option. The customer picks one option and can tick add-ons.
Invoices take coupons and gift cards. To use a gift card, enter its “Gift Card Code”.
“Invoice Reminders” and “Overdue Notices” each have three choices: Do not send, Send, or Auto send.
Use “Refund”, “Refund All” or “Refund Selected”. Refund Selected returns only what you select.
Tint and film
Shades per window zone, film brands, roll usage and warranties.
On a tint job, pick a shade for each window zone, from 5% to 70%.
ShopHawk starts with ten brands: 3M, XPEL, SunTek, Llumar, Ceramic Pro, KAVACA, Global Window Films, Johnson Window Films, Huper Optik and Madico. You can edit the list for each service.
Use “Add Inventory Usage” on the job to record the Selected Area, Roll ID, Usage, Waste and Value. Waste cannot be more than Usage, and both leave stock when the job reaches Job Done or Completed.
ShopHawk creates the warranty when the job reaches Job Done or Completed, with the term from the inventory product. You can then create “Claims” against it.
